3 min readHow AI Case Summaries Work
AI drafts summaries from existing case data. You review, edit, and approve before anything is saved as official.
Overview
PSA 360's AI assistant reads attendance, intervention history, and parent contact records to draft narrative summaries — never policy decisions.
What AI summaries include
- Attendance pattern in plain language.
- Recent interventions and outcomes.
- Suggested next action with rationale.
- Optional parent-facing version in the family's language.
What AI does NOT do
- Decide whether to escalate.
- Send messages without staff approval.
- Access information outside the student's record.
Step-by-step
- From the case → Generate AI summary.
- Wait 2–4 seconds — draft appears in the right rail.
- Read every sentence. Edit anything that's wrong.
- Click Approve to save to the timeline; otherwise discard.
Best practices
- Always read the source records the AI cites.
- Edit tone for the audience (parent vs. internal).
Common mistakes
- Pasting the AI draft into a parent message without language review.
- Approving a summary that mentions a sibling case (not in scope).
