How Automation Creates Alerts and Tasks
Attendance updates trigger rules that surface alerts and pre-create tasks. Nothing happens behind your back.
Overview
PSA 360 watches the SIS feed and your case data. When a configured rule fires (e.g., 3rd unexcused absence), the system creates an alert + an optional task, both visible in your Inbox before any external action is taken.
Step-by-step
- Visit Automation to review active rules.
- Use Rule Simulator to preview impact before enabling a rule.
- When a rule fires, the alert appears in your Inbox with a link to the source record.
- Approve, snooze, or dismiss the suggested action.
Example
Rule: "3 unexcused absences in 20 days → create call task + send Truancy Letter 1." When student X crosses the threshold, you see an Inbox alert with two pre-built actions — you confirm them rather than typing from scratch.
Best practices
- Review rules quarterly with site admin.
- Always read the trigger evidence before approving.
Common mistakes
- Auto-approving every alert without reading.
- Disabling a rule instead of editing its threshold.
